Refund policy
Return and refund policy
Effective date: 16th October 2026
Business purchases and enquiries
UF International Limited supplies businesses acting in the course of trade. Our website is for trade enquiries and account management. Submitting an enquiry does not place a confirmed order or trigger a payment, return or refund obligation. Sales become binding under the contract formation provisions in our Terms of service.
We do not offer a general change-of-mind return or consumer cooling-off policy for genuine business purchases. This policy does not remove any right or remedy that cannot lawfully be excluded. Contact us before submitting an enquiry if you are buying for personal use.
Cancellation and changes
You may ask us to withdraw or amend an enquiry before a sales contract is formed. Once a contract has been formed, cancellation, quantity changes or returns of correctly supplied goods require our written agreement unless you have a legal or contractual right to cancel or reject them.
If we agree a discretionary cancellation or return, we will confirm the arrangements and any charges in writing. Charges will reflect reasonable, substantiated costs or losses arising from the request, taking account of costs avoided and reasonable mitigation. No charge applies merely because you exercise a right that cannot lawfully be restricted.
Damage, shortages and incorrect goods
Inspect the goods and packaging promptly on delivery or collection. Record visible damage or shortages on the delivery documentation where reasonably possible and email sales@ufinternational.co.uk within five calendar days of receipt. Include your order or invoice reference, UF product codes, quantities, batch details and photographs where available. Failure to obtain a carrier’s signature does not automatically invalidate a genuine claim.
For a defect that could not reasonably have been identified on initial inspection, notify us promptly after discovery, with supporting details. The five-day period above is not an automatic exclusion of latent-defect claims or non-excludable rights. Any delay and its effect on our ability to investigate or recover from a carrier may be taken into account where the law permits.
Product safety and storage
Stop selling or using goods reasonably suspected to be unsafe and isolate the affected stock. Contact us immediately. Keep packaging, batch information and relevant storage or temperature records. Do not destroy or return goods without instructions unless immediate action is required by law or to protect safety; retain evidence where reasonably possible.
We are not responsible for deterioration or damage caused after risk has passed by incorrect storage, handling, transport, relabelling or other acts outside our responsibility. This does not excuse a defect or breach attributable to us. Product shelf life and any short-dated supply must be assessed against the specification agreed for that order.
Return authorisation and remedies
Contact us before sending goods back. We will confirm any authorisation, return address, inspection requirements and collection arrangements. Do not assume the registered office is the return location. A request for authorisation does not prevent a rejection or claim that the law otherwise permits.
If a claim is accepted, we will provide the remedy required by the contract and applicable law, which may include replacement, refund or an agreed credit. A credit note will not replace a monetary refund where a refund is legally due unless you agree. Where return is reasonably required because of a defect or error for which we are responsible, we will arrange collection or reimburse reasonable return costs agreed in advance; mandatory rights remain unaffected.
Discretionary returns of correctly supplied goods must satisfy the conditions we agree, including condition, seals, storage history, shelf life and transport costs. Food, perishable, temperature-controlled, special-order or export-prepared goods may be unsuitable for discretionary return. This does not exclude remedies for goods that breach the contract.
An approved refund will be made without undue delay using the original payment method where practicable, or another method agreed with the paying business, following necessary verification. A website enquiry acknowledgement is not proof of payment.
